Approximately 60 professors in the Department of Mechanical & Industrial Engineering research a wide range of subjects. Operations research, information engineering, human factors, and applied machine learning are all research areas in industrial engineering that aim to enhance the systems that humans depend on to navigate our world. Robotics, mechanics & design, materials, and thermofluids are research areas in mechanical engineering that are relevant to a variety of applications, such as bioengineering, energy production, and manufacturing.
Additionally, we are home to approximately 2,000 exceptionally talented students, with approximately 1,300 undergraduates enrolled in the Mechanical Engineering BASc and Industrial Engineering BASc programs. In our professional program, which is designed for students pursuing courses with us for a year or two, we have approximately 350 Master of Engineering (MEng) students enrolled. Additionally, we have approximately 350 MASc and PhD students who collaborate on research projects with a specific professor. Your Opportunity:
The incumbent is accountable for providing support to the Undergraduate Office and serving as the initial point of contact for students and faculty, all under the general supervision of the Undergraduate Program Administrator & Academic Advisor. You will be responsible for a variety of undergraduate duties, including the following: answering a high volume of emails daily, booking rooms, scheduling advising appointments, and responding to a variety of basic questions related to program requirements.
Your Responsibilities Will Include:
- Arranging appointments with current students, applicants, and prospective students to address their unique requirements.
- I act as the first point of contact for questions about general matters.
- Responding to inquiries within the designated scope of the position and redirecting them as necessary.
- Resolving conflicts with accommodation booking and/or timetabling.
- Taking and distributing meeting minutes; updating and maintaining records; and writing routine documents and correspondence.
- Maintaining awareness of modifications to policies, procedures, requirements, and courses.
- Verifying the completion of program requirements.
- Scheduling, agendas, materials, action items, and follow-up are coordinated.
Essential Qualifications:
- A three-year advanced college diploma or an acceptable combination of equivalent experience.
- A minimum of two years of relevant experience in administrative support and customer service.
- Experience with ROSI, Degree Explorer, ACORN, Quercus, or equivalent systems has been demonstrated.
- Intermediate proficiency in the Microsoft Office Suite, which includes Outlook, Word, and Excel.
- The capacity to take initiative, multitask, and prioritize work.
- Demonstrated capacity to exercise discretion, tact, and sound judgment.
- Ability to rapidly adapt and learn new processes, as well as manage conflicting priorities and deadlines.
- High-quality written and verbal communication.
- Demonstrated positive attitude and service orientation toward students, staff, and the public, as well as exceptional interpersonal and customer service skills.

Pay Scale Group & Hiring Zone:
USW Pay Band 08 is $62,832, with an annual step progression to a maximum of $80,351. The job class assignment and pay scale are subject to determination by the Job Evaluation/Pay Equity Maintenance Protocol.
