Purpose of Position:

  • Acquires travel and hotel accommodations, as well as vehicle rentals, for both guests and employees.
  • The following responsibilities are performed: the acquisition of ticket itineraries and the compilation of transaction reports.

Tasks and Responsibilities:

  • Confirms the availability of travel and lodging accommodations and the associated rates.Conducts research and reviews airline fares to ensure that the most favorable price is obtained by the requested travel dates and times.
  • Submits requests for airline reservations to the travel company. Confirms the final travel schedule and receives proposed itineraries.
  • Creates a passenger travel booklet that includes a copy of the itinerary, written confirmations of lodging and car rental, and other relevant information. Answers inquiries regarding routes, fares, accommodations, and other travel issues, as well as maintains a current directory of hotels, lodgings, and vendors.
  • Evaluates routine transportation invoices and generate and submits reports to the organization.
  • Audits expense reports.
  • Maintains an accurate record of deposits and withdrawals and oversees petty cash.
  • As requested by management, compiles and submits a report.
  • Maintains travel profiles for travelers.
  • Prepares and types claim forms for refunds and adjustments, as well as reports of processed transactions.

Minimum Education:

  • Certificate in Business or Administrative Assistant

Minimum Experience:

  • Skills and knowledge of software: Microsoft Office, Word, Excel, and the Internet.
