The Position:

You will be the primary point of contact for both employees and visitors as the Office/Showroom Assistant and Receptionist. You will extend a warm welcome upon their arrival and provide guidance as required in a courteous and professional manner. Your duties will encompass the provision of support for a variety of office functions and the support of the Office Manager in ensuring the efficient and punctual administration of the business.

Key Responsibilities:

The responsibilities of this position, which include but are not limited to: maintaining effective and efficient operations within the PVH Dubai Office.

  • As the initial point of contact for all visitors and guests, the individual is responsible for providing a warm and welcoming atmosphere and directing them to the appropriate departments.
  • Maintaining personal and professional conduct that is consistent with the brand’s standards.
  • Managing incoming communications, screening them as necessary, and directing them to the appropriate departments.
  • Coordinating catering arrangements and managing meeting room calendars as required.
  • Supervising the procurement process and maintaining records of incoming and outgoing deliveries for PVH.
  • Producing purchase orders and invoices for the Office and HR, managing the inventory of office and dry products, and reconciling cash receipts for PVH expenses.
  • Guaranteeing adherence to health, safety, and security regulations during business hours and during emergency evacuations.
  • Ensure that records are kept in a logical order to facilitate their retrieval by the appropriate personnel.
  • Managing the coordination of inbound and outbound shipments and deliveries.
  • Escalating any housekeeping, maintenance, or IT issues promptly.
  • Offering comprehensive administrative assistance for all office operations as required.
  • Assist the HR Team in coordinating with the Immigration Partner regarding all inquiries regarding work permits, visas, and cancellations.
  • Assisting the Office Manager in the coordination of a variety of events, including internal or external workshops/trainings, Associates Events, and Market Launches.
  • Serving as the Fire Warden and First Aider on site.
